ProLink Solutions is pleased to announce a Procorem release.
The release introduces the following new functionality.
This release replaces the original member and guest administration screens with a redesigned set of Admin pages, and introduces a new way to track the outside organizations your guests belong to. As a result, with the release, the existing People & Permissions page is removed.
The new Members page lists every active staff member in a sortable, searchable table showing name, email, admin role, last login, and status, with export to Excel.

Opening a member's record now starts with an Overview tab showing their contact information, admin role, last sign-in time, and sign-in security method, with a Resend Invite button if they haven't accepted their invitation yet.

The Settings tab lets you set a member's admin role and choose the default WorkCenter role that's automatically applied when you add them to future WorkCenters.

The new Account Roles tab shows the module-specific roles a member holds, Property Admin or Inspection Admin, for example, and lets you assign or remove them with a click.

The Work Items tab lists every WorkCenter a member has access to, letting you change roles inline, filter by category, remove access in bulk, and export the list to Excel.

The new Activities tab rounds out the picture with a searchable, sortable history of the member's account activity, complete with a Details popup that shows the full context of any entry.
Adding a member to several WorkCenters at once is now a streamlined process. Click Add to WorkCenters on the Work Items tab, select the WorkCenters and roles, add an optional note, and the member gets one email listing everything they were added to.
Caution
The process for adding internal staff now works differently. Add new staff members directly from the Members page in Admin, rather than adding them through a WorkCenter.
Important: guests can no longer be upgraded to members. Add Collaborator on a WorkCenter still adds a new person as a guest, exactly as it does today, but now there is no way to convert that guest to a member. Decide before you add a user. If you know they need member-level access (typically internal users), add them as a member from the Members page first, then add them to their WorkCenters from there.
When someone leaves, deactivating them from their profile page (with a type-to-confirm safeguard) moves them to the new Inactive Members tab, which tracks the deactivation date, whether they left voluntarily or were removed, and by whom. Clicking into an inactive member's read-only record gives you a Re-invite option if they need to come back.
Caution
If you re-invite a user (member or guest), their prior WorkCenter assignments will not be restored automatically. You will need to (re)assign them to the applicable WorkCenters.
On the way in, the new Invite Member flow recognizes staff who already have a Procorem profile, pre-fills their name, and lets you set their admin role before sending the invite.
Guests get the same redesign, with a few guest-specific rules built in. The new Guests page lists every external collaborator in a sortable table with partner organization, primary-contact status, last login, and status, filterable by partner organization and exportable to Excel.
A guest's Overview tab is read-only for admins, since guests manage their own contact information, but the new Partner Organization tab lets you connect a guest to the outside company they work for and mark them as a primary contact, and the Settings tab sets the default WorkCenter role a guest receives going forward. Guests can never be given owner-level or other member-only roles.
A new Set Partner Organization popup makes it easy to search for and assign an organization even in accounts with thousands on file.
The Work Items, Add to WorkCenters, Inactive Guests, deactivation, and Invite Guest experiences all mirror their member counterparts. An Activities tab mirrors the one on the Member side, showing a searchable history of activity involving the guest.
Partner organizations are a new concept in Admin this release. The new Partner Directory page lists every outside organization your account works with—such as developers, property managers, contractors, and lenders—showing industry type, primary contacts, number of assigned guests, and location, with search, filtering, and export to Excel.
Each one also gets its own detail page with industry type, contact information, address, and internal notes, plus an Assigned Guests tab where you can bulk-assign guests, toggle who's a primary contact, or unassign them, and a Work Items tab that rolls up everything the organization's guests are currently working on.
The new Add/Edit Partner Organization form captures the organization's name, industry type, email domain, and contact details. The email domain is used to suggest guests who should be linked to it. Organizations can also be permanently deleted; any assigned guests are automatically unassigned, with no effect on their work item access.
This release includes updates to Inspection module functionality.
ProLink introduces bulk-management tools for property specific inspection items and inspection areas, reducing manual, one-at-a-time setup.
Property specific inspection items can now be managed in bulk rather than one at a time. The new Property Specific Items tab on the Inspection Template page displays every item linked to that template in a fast, searchable table built to handle tens of thousands of items. And you can export the full list to an Excel workbook, or download a blank starter workbook, that's ready to edit and re-import. Importing from Excel creates new items and updates existing ones across many properties at once, without deleting anything left out of the file.
The existing Manage Property Specific Inspection Items permission has been extended to also control access to these new import and export tools, so administrators can manage who uses them through the existing permission.
A new Attendees tab on the Inspection Detail page lets you record who was present for an inspection, adding, editing, and deleting attendees with their name, role, email, and phone number. That same information now appears in a new Attendees section in the Full Inspection and Exigent reports, and attendees added or edited on the mobile app sync to the web the next time an inspection is uploaded, so records stay consistent between the field and the office.
