Procorem serves as a comprehensive portal for all your project communications. Fully integrated with email notifications, Procorem tracks project decisions to ensure all team members stay on the same page.
You can tie posts to a specific WorkCenter, and comments to a file or task. WorkCenter posts can be tracked on the account level to give you full insight into communication across all your projects in a single view. To learn more about how to view information across multiple projects at the same time, check out the Account Level Data Help Center article.
Posts made on the WorkCenter level typically represent project level communications. Posts support rich text editing and can be easily viewed on the account level.
Making posts on the WorkCenter is the best way to raise questions or awareness around elements of your project that are not specifically tied to a file or task.
Often during a project, it makes the most sense to tie comments to a particular document. This way all communications around the document can be easily referenced and tied to the document itself.
Procorem fully supports comments on the file level to keep a complete threaded comment history around a single document.
Procorem gives you the ability to tie posts directly to a specific task. This works great if you would like to give an update on task status, ask questions about a particular task, or just keep a threaded history of conversations around that task.
Regardless of where you make a post or comment, all collaborators on the WorkCenter will receive an email notification once a post has been made. By integrating posts directly with your email, you can rest assured that your project team will always be in the loop as projects progress.
Email notification frequency will depend on the settings chosen by each WorkCenter collaborator. To learn more about controlling your email settings, check out the Notifications in Procorem section of the Help Center.
On top of sending emails, each time a post a comment is made, an activity log is created. This ensures that there is a lasting record of all project communications.
Take a quick look at the Activity Introduction article to learn more about how Activity works in Procorem.
Both posts and comments trigger email notifications that will either arrive immediately or in a digest depending on your team’s individual email preferences. You can even email WorkCenters, which will store the email as a post.
-
Navigate to the WorkCenter, and then click Posts in the left navigation panel.
The Posts page opens. Posts are time stamped and can be edited only by users with sufficient rights.
-
Enter your text in the New Post field.
Click the drop-down arrow in the upper right corner to access the rich text editor for changing the font, adding pictures, using bullets, creating tables, and so on.
-
Click Create Post.
-
Navigate to the WorkCenter and folder where the file is located.
-
Click Details on the right side of the file line item.
The File Details page opens.
-
Click the Comments tab.
-
Enter your comment in the New comment field.
-
Click Post Comment.
-
Navigate to the WorkCenter where the task is stored.
-
Click Tasks in the left navigation menu.
The Tasks page opens.
-
Select the task you want to comment on.
-
Click the Comments tab.
-
Enter your comment in the New comment field.
-
Click Post Comment.
Within the Posts page, click Edit in the upper right corner of a particular post to edit it. You need sufficient security privileges, driven by WorkCenter roles, to edit posts.
When you are done editing the post, be sure to save your changes. Procorem records an activity, noting the edit, but the creator of the post remains the same.
Click Delete Post in the upper right of the page if you want to delete the post rather than edit it.
File and task comments cannot be edited, but can be deleted. To delete a file or task comment, head to the comment location. From there, if you have sufficient rights, you will see an X on the right side of the post. Click the X and the comment will be deleted immediately. Once you delete a comment, it cannot be restored.
Procorem’s interface provides direct integration with your email service through the use of notifications and posts. When certain activities such as creating posts, uploading documents, finishing tasks, and more take place, an email notification will be sent to all the participants on the WorkCenter that the activity took place.
Note
Procorem users can control the frequency of notifications by either subscribing to immediate emails or a daily/weekly digest email. To learn more about controlling email notifications, take a look at the Notifications in Procorem section of the Help Center.
You also have the ability to directly reply to a notification or email a WorkCenter to create a new post. Whether a reply to a notification or a new email, this will ensure your email communications are tracked and visible to the rest of your project team.
Every WorkCenter you are invited to has a unique email specifically created for you. By including this email address in emails you send related to that project, the email will be logged in Procorem as a post.
-
To find your email ID, navigate to the WorkCenter and click Email this WorkCenter at the bottom of the left navigation panel.
A popup window provides your unique WorkCenter email ID as well as the ability to send an email directly from this screen.
-
Click the Send email to: {WorkCenter Name} link.
A new email opens in your mail application, populated with the "To" address.
The email address given on the WorkCenter is directly tied to the email address used as your login. To send an email to the WorkCenter, you need to send from that same account.
-
Compose and send the email.
-
If the Account Administrator has configured the account to require approval on incoming emails, you need to approve the email to ensure that the email is in fact coming for you. Navigate to the post section of your WorkCenter and click Approve.
The post is made visible to all other collaborators on the WorkCenter and an audit log is created noting the activity.
Tip
You also have the ability to approve emails across multiple WorkCenters at the same time by heading to the Action Items page (accessible through the Home page Quick Links).
-
If any attachments are associated with the email they are now made visible. To share them with other collaborators on the WorkCenter, move them to the correct location within the WorkCenter.
If the file already exists with the same name, a new version is created; otherwise, Procorem created a new file in that folder.
Replying to email notifications works the same way as sending a new email. The only difference is your unique email ID will already be stored in the notification email and by replying to the email, it will send your response right back to the WorkCenter.
When you select reply, you will see your unique email ID in the To: line of the email.
If you are replying to an email sent from Procorem, the reply will be auto-posted, without going through the “Approve” post process.
