Procorem keeps a complete audit trial of all the activity which has taken place on your projects. Procorem stores this record to ensure that key project deliverables, actions, and decisions are monitored and tracked to keep a complete project history for your team.
As your organization evolves and grows, keeping this record and institutional knowledge of what has worked, what didn’t, and why will keep you one step ahead of your competition regardless of the industry that you are in. For those industries with compliance requirements, Procorem serves as a complete project record that can be securely shared and audited by regulatory agencies as required.
Activity is recorded as users engage with the Procorem platform. A wide variety of actions trigger activity records:
-
Files—Any time a file is uploaded, downloaded, commented on, deleted, moved, copied, or otherwise engaged with, an activity record will be created.
-
Tasks—Just like files, when tasks are created, edited, finished, approved, completed, commented on, deleted, or status is changed in any way an activity record will be created.
-
Posts and Comments—When posts are made on the WorkCenter or comments are made on files or tasks, an activity record is made. Activity will also be recorded when posts or comments are edited and deleted.
-
Events—Activity will also record important system events such as when folders are created as well as when collaborators are added, removed, leave a WorkCenter, or have permissions changed.
As activity takes place in Procorem, your team members are kept in the loop through email notifications. Notifications can be immediate, sent in a digest, or turned off completely depending on the user preferences. To learn more about notifications, take a quick look at the Notifications in Procorem section of the Help Center.
The only way to delete activity is to fully delete a WorkCenter or an account where the activity is stored. Once WorkCenters or accounts are deleted, they CANNOT be restored. Managing the permissions of your users is an important aspect to control these actions. Check out the Security, Permissions, & Guests section of the Help Center to learn more.
If you would like to remove a WorkCenter from search and common usage, but don’t want to lose the activity trail, try archiving the WorkCenter.
Activity is stored in a variety of core areas in Procorem. Activity is only accessible to you if you are a collaborator on the WorkCenter where the activity took place. The only exception to this is that Account Administrators can see activity across all WorkCenters in the Account Activity Feed even if they are not on the actual WorkCenter.
One of the easiest places to check the latest activity in Procorem is the My Activity Feed page, accessible from the Quick Links on the home page. From here you can quickly see up to 30 of the most recent actions (activity) that has taken place in Procorem since you last logged in. Click Load More at the bottom of the page to see the next 30 actions. Quickly see who performed the action, what action was taken, and where the action took place all from this page.
You can filter to view up to three months, six months, or one year of history.
To go into the project WorkCenter where the activity took place, click on the link on the activity item.
If you are looking for all the activity across an entire account, look no further than the Account Activity page. Here, all the activity will be tied to the account you are currently under. Just as with My Activity Feed, clicking the activity link will take you into the WorkCenter where the activity took place.
Account Activity shows up to three months history.
To find activity tied to a particular project WorkCenter, first head into that WorkCenter then select the Activity link on the left navigation menu. From there, you will be able to see all the Activity that has taken place on that one WorkCenter.
Often times you may want to see who has downloaded, commented, or engaged with a particular file on your Procorem account. To see all the activity associated with a particular file, head to the WorkCenter where the file is stored, then click Details for the file you wish to see.
From here, click the Activity tab and you will see all the activity associated with that file.
Tasks store all activity on the task itself. To see task activity, first head to the WorkCenter where the task is stored and then select Tasks from the left navigation menu.
From there, click on the actual task and click the Activity tab on the upper part of the screen.
The final place in Procorem that activity is logged is around a particular user under each account. The only people that have access to see all activity around an individual user are Account Administrators. To access this information, navigate to Account Overview > Manage Account > People & Permissions.
From there, select the person whose activity you would like to see and click the Activities tab.
